Phase 1: Buyer Intake + Status Foundation

Description: Centralized place to upload buyer information. After submission, the user is added to the spreadsheet database and automatically emailed.
Estimate: 15 hours
Includes:
  • Form build mapped to existing sheet
  • Google Sheets integration (create/update logic)
  • Initial email trigger to new user on entry
  • Status column standardization
  • End-to-end testing (intake → sheet → trigger)

Phase 2: Status-Based Process Execution

Description: Automated actions like emails occur when a buyer’s status is changed in their spreadsheet database.
Estimate: 15 hours (depends on the number of client statuses)
Includes:
  • Status trigger workflows (Under Contract, Day 2, Closed, etc.)
  • Outlook email integrations per status
  • Document injection if storage API allows (links/attachments using existing system)
  • Additional actions upon client reaching x stage
  • Optional follow-up date notification logic (set date/get notified when date reaches)

Phase 3: Group-Based Configuration Layer

Description: They consistently send emails to 17 different groups. We will be providing an intake form for user info and group affiliation. Upon submitting, the user gets an email pertaining to their info/group.
Estimate: 12 hours
Includes:
  • Group field integration (form + sheet)
  • Group mapping table setup
  • Dynamic email/recipient logic based on group
